Will Harvey Coaching
Privacy and cookies
How I handle information when you visit this website, get in touch or arrange a conversation.
Who is responsible
This website is operated by Will Harvey Coaching Ltd, company number 11584146. The registered office is 41 Santley Street, London, England, SW4 7QE.
The company is responsible for deciding how personal information collected through this website is used. For privacy questions or requests, contact Will at [email protected].
Enquiries and booking
When you get in touch, I use your name, contact details and the information you choose to share to respond, understand your enquiry and discuss whether we could work together. The form requires your name, email address and a message; your phone number, organisation and role are optional. You can also contact me directly by email or telephone.
If you book through Calendly, your booking details are used to arrange and manage the conversation. Please keep initial enquiries brief and avoid sharing sensitive personal information or confidential details about other people through the website form.
Until you become a client, I keep enquiry records within the email, enquiry and booking services described below. I do not add you to a mailing list. I may keep a minimal private register of contact dates, enquiry source, my assessment and outcome, with a reference to the existing correspondence. I do not copy the content of your enquiry into that register. If you become a client, I will explain any additional information needed for the work before it begins.
Why I use your information
Where you ask about coaching for yourself, I use information necessary to take steps at your request before entering into an agreement. For organisational enquiries, correspondence and website security, I rely on the legitimate interests of responding to requests and running the business safely, balanced against your rights.
If you allow optional analytics, I use your consent to understand how the website is used and improve it.
Where information must be retained to meet a legal requirement, that processing is based on the relevant legal obligation.
Services that handle information
Formspree receives website enquiries, checks for spam and delivers them to my inbox. Calendly provides the booking calendar. Cloudflare hosts and protects the website, and Google Workspace provides business email. These services receive information needed for their roles, including technical details such as IP addresses and browser information where relevant.
The site currently requests its fonts from Google Fonts, so your browser contacts Google to display them. Email, telephone and WhatsApp links open your chosen service; using WhatsApp is optional.
Personal information may also be disclosed where required by law. Your enquiry is not sold or used to add you to a marketing list.
International processing
Some service providers process information outside the UK, including in the United States. Calendly and Cloudflare publish data processing terms covering international transfers, including UK safeguards. You can read their Calendly processing terms and Cloudflare processing terms.
Formspree receives website form submissions and hosts its service in the United States. Formspree states that it uses Standard Contractual Clauses when acting as a data processor. Its privacy policy and security information explain its published practices. Questions about Formspree’s own privacy practices can be sent to [email protected].
I remain your contact for questions or requests about your enquiry and how I use your information. Please email [email protected]. If you prefer not to use the website form, you can contact me directly by email or telephone.
How long information is kept
For enquiries that do not lead to coaching, I delete enquiry records 12 months after the last contact. This includes email copies. If a discussion is still active, or information is needed for a legal obligation or dispute, I keep only what is needed for that purpose and review it when that reason ends.
Microsoft Clarity retains ordinary session playback for 30 days, and click/heatmap data for nine months. Labelled or favourited recordings can be retained for nine months. See Clarity’s retention information.
Google Analytics retains user and event records for 14 months, with the period for user records renewed by further visits. Most standard aggregate reports are not limited by that retention setting.
Formspree’s current free plan provides 30 days of submission history. Email copies are subject to the enquiry rule above; the provider’s own security and service records follow its policies. Information retained for an agreed coaching engagement is explained separately.
Your rights
Depending on the circumstances, you can ask to access, correct, erase or restrict the use of your personal information, and request a portable copy where that right applies.
You can object to processing based on legitimate interests. Where processing relies on your consent, you can withdraw it. Withdrawal does not affect processing that took place before it.
Contact [email protected] to exercise your rights or raise a concern. You can also complain to the Information Commissioner’s Office, the UK data protection regulator.
Provider information and updates
You can read more in the privacy information published by Formspree, Calendly, Cloudflare, Google and WhatsApp. External services have their own privacy practices.
I review this notice when the website or its services change.
